*Some of the tasks listed are specific to either Transactional or Litigation Law, but it will not necessarily be expected for all Assistants to be able to complete the tasks in either category.

1.
Correspondence
* Read email and respond as needed
* Check voicemail and respond as needed
* Open/Date stamp mail and respond as needed
2.
Calendar
* Plan for the day – send reminders as needed, prepare materials as needed
* Schedule appointments, meetings, depositions, hearings, etc.
* Maintain calendar throughout the day
3.
Draft documents (letters, notices, correspondence, memos, emails, forms, etc.
)
4.
Dictation – prepare correspondence or documents dictated
5.
Create new Client paper files, and folders on the computer and enter in the billing
6.
Prepare documents for filing, copying, and mailing
7.
Billing:
* Research client requirements/procedures/guidelines for an accurate billing process
* Enter time into the billing system,
* Prepare billing,
* Run attorney report for unbilled time
* Run BIMS (draft statements)
* Review, correct and send out with client statement letters
* Follow up on any unpaid accounts
* Archive client/matters from the billing system and filing cabinet
* Run quarterly statements for clients
* Pull paid statements to archive
* Close out year in billing
* Receipt payments from clients

Schedule travel for attorney
9.
Organize file cabinets/close files
10.
Get closed files from storage
11.
Scan files as needed and file paper copies as required
12 Notarize as needed
13.
Sign Attorneys up for CLE Seminars

14.
File or process any Corporation filings that have been received
15.
Research Estate and Tax questions
16.
Review Estate status for deadlines and return of signed documents
17.
Familiarize with the personnel at the zoning, title, and municipal and county government offices.
18.
Order title work and closing statements
19.
Complete Corporate & LLC Annual Reports for the month and correspondence to clients
20.
Prepare for Corporate & LLC Annual Minutes for the month and forward to Clients
21.
Billing, print WIP, BIMs, make revisions, print statements approved, and mail statements.
22.
Prepare or follow up on Estate Tax Returns in progress
23.
Follow-up on new Corporations or LLCs that are in the process of creating
24.
Follow up on any unpaid accounts
25.
Track land use and zoning communications
26.
Gather and track municipal meeting information of clients
27.
File next year’s items in a bring-up file by month
28.
Create Corporate lists for next year’s Annual Report and minutes, CSD & Delaware fees.
29.
Enter time and prepare bills for all Corporations and LLCs in January for the prior year
30.
Attend relevant seminars/training as requested by an attorney
31.
Close out the year in billing
32.
Close Estate files
33.
Insert replacement pages for Legal Books
Job Type: Full-time
Pay: $18.
