6355 Position Status: Full-Time Work Schedule: Monday – Friday; 8:30 AM – 4:30 PM Position Summary The Administrative Specialist II performs a variety of responsible and complex tasks involved in providing administrative support to County programs and managers.
Duties include composing and proof-reading materials, creating, tracking, and maintaining records in filing systems.
Front desk duties: consistent interactions with probation clients and directing them through the process while connecting them to their probation officer.
Answering a variety of inquiries by telephone, mail, or in person.
This class is distinguished from Administrative Specialist II by the greater variety and/or complexity of duties performed.
Essential Duties and Responsibilities Maintains records for McLean County Court Services.
Processes a wide variety of moderately complex to complex materials, information, and transactions.
Manages front desk while interacting with probation clients and connecting them to their probation officer.
Communicate with probation officers and assist them with client management.
Establishes, compiles, maintains, and retrieves specialty computer and/or hard copy files or records; takes appropriate actions related to files and re-files, as needed; produces a variety of reports from computerized databases and spreadsheets.
Interacts in person, by telephone, and written correspondence with the public, County staff, and staff of other jurisdictions; provides information on County, Department, and specific program policies and procedures; takes service requests and routes to appropriate parties for response.
Performs calculations; receipts money; processes payroll or billings; serves as timekeeper; orders office supplies and other program materials and supplies.
Serves as office resource or contact person for use, maintenance, and/or troubleshooting for specific office machines and/or software programs, as assigned.
Research files and materials and prepare informational responses and reports, as required.
Provide temporary oversight to others for special projects or assignments, as assigned.
Performs other related duties as assigned.
Knowledge, Skills and Abilities Knowledge of modern business practices.
Knowledge of English composition, spelling, and grammar.
Some knowledge of computers, applicable software programs, and other standard office equipment related to the duties of the position.
Some knowledge of accounting practices and principles, as required by the position.
Knowledge of local government operations, Human Resource related programs, policies and plans, and modern office practices and procedures.
Knowledge of Microsoft Word, Excel, PowerPoint, and other similar programs.
Skill in customer service.
Skill in alphabetical and/or numerical filing.
Ability to effectively resolve conflict and diffuse difficult situations.
Ability to understand and follow oral and written instructions.
Ability to communicate effectively, both orally and in writing.
Ability to learn rules and procedures and to apply them correctly in varying circumstances.
Ability to make mathematical calculations quickly and accurately.
Ability to establish and maintain effective working relationships with co-workers, officials, various external contacts, and the general public.
Ability to get along with others and work effectively with co-workers and the general public.
Ability to deal properly with confidential and sensitive matters.
Required Qualifications High school diploma.
Keyboarding at 45 words per minute.
Legible handwriting and basic math computation.
Ability to file accurately and proofread court-related documents.
Experience in Outlook and Microsoft Office software, especially Word and Excel.
Physical Attributes/Demands The work is sedentary work which requires exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and possess close visual acuity.
