JOB TITLE: Guest Experience Coordinator JOB LOCATION: Timber Pointe Outdoor Center, 20 Timber Pointe Lane, Hudson, IL 61748 FLSA STATUS: Part time, Hourly Position Objective: The Guest Experience Coordinator performs diverse clerical and receptionist duties specific to Timber Pointe Outdoor Center.
This position serves as the Registrar and first point of contact for camp sessions (primarily partner camp sessions), facility rentals, weddings, and other special events.
Job Functions: Receives, handles, and transfers phone calls and messages promptly, courteously, and accurately.
Greets and assists individuals, visitors, and volunteers of Timber Pointe Outdoor Center.
Gives facility tours to potential individual and group users.
Serves as Registrar for camp sessions (primarily partner group camps) and facility rentals/special events.
Generates, processes, and maintains contracts, invoices, registration documents, and related files and records.
Serves as primary contact for rental/retreat groups, wedding parties, and other user groups.
Manages and records deposits and payments, communicating with rental/user groups to ensure on-time payments according to the contracted schedule.
Coordinates, documents, and communicates rental/user group accommodations, needs, or requests to appropriate personnel (facilities, housekeeping, Camp Director, Program Manager, etc.
).
Processes and distributes incoming mail and deposits outgoing mail.
Provides information about Timber Pointe to groups, families, and other interested individuals.
Marginal Responsibilities: Assists in designing and implementing community outreach efforts to recruit/attract additional rentals and events.
Assists in preparing facilities and catering for rental and user groups, as needed.
Assists in registering campers for various camps, organizing/tracking camper scholarships, and preparing documents for upcoming camp sessions.
Maintains volunteer database and records and assists in leading volunteer groups as needed.
Submits payment approval forms, commerce reports, and other related documents to accounting as needed.
Maintains statistical data on campers and rental/teams course participants and prepares reports, as requested.
All other duties as assigned.
Education/Experience Requirements High School Diploma or GED, required.
A minimum of two years of successful experience in an office setting is preferred.
Competency Requirements Exceptional customer service skills.
Responsible for keeping resources and office files in order.
Working knowledge of personal computers and software (MS Office Suite, Adobe Acrobat Sign).
Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Must have visual ability sufficient to read and complete written correspondence, reports, etc.

Frequent use of hands to grasp, handle, or feel.
Regular standing, walking, sitting, and reaching.
Occasionally lift and/or carry up to twenty-five (25) pounds.
Ability to independently navigate Timber Pointe’s 170-acre facility.
Work Environment Routinely works in office environments with little exposure to excessive noise, dust, and temperature.
Outdoor camp environment with exposure to all types of weather and conditions, including extreme heat, cold, snow, rain, etc.
Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
